Notarize your forms online, 24/7
TIAA has partnered with Proof to offer a safe and secure way for you to notarize your forms online in as little as 15 minutes. Complete the online notarization process below, and then upload your completed forms through the TIAA website or mobile app for a quicker, easier transfer of funds.
How it works
1. Prepare and upload your documents
Download the TIAA form that requires notarization and upload it to Proof. If you have a paper document, you will need to scan and save the form as a PDF file format. Then, upload the document to Proof and include all pages – not just the page that requires notarization.
For married participants: The TIAA plan participant should sign the form with their physical or digital signature. The spouse of the plan participant will then go through the signing experience with Proof.
2. Verify your identity
Proof will ask you a series of questions and prompt photos of a valid, government-issued ID to quickly and securely verify your identity.
3. Connect with a live notary
In seconds, Proof will connect you with a commissioned notary over a live video feed. The notary will confirm your identity, witness your signature, and assist you throughout the process.
4. Submit your documents
After the notary meeting, Proof will prompt for credit card payment before you can access your completed forms. You must then return your completed forms to TIAA in one of two ways:
- Upload via web: Log into your account at TIAA.org and click on “Profile,” followed by “Shared Files.” Follow the instructions and, when prompted, select "Yes" that the file is being used to process a transaction.
- Upload via app: Log into your TIAA mobile app and open the Message Center. Click on “Files” followed by “Upload” in the bottom-right corner, then select the preferred folder. Follow the instructions to take a picture and upload your completed form.
Here's what you need
The Photo ID must be unexpired with a clear photograph. Acceptable Photo IDs include:
- State-issued Driver’s or Nondriver’s Identification Card
- Passport
- U.S. Permanent Resident Card issued by U.S. Citizenship and Immigration Services
- U.S. Certificate of Citizenship or Naturalization
- Matricula Consular (Mexico)
- NEXUS Card (Canada)
- U.S. University Identification Card
Please note: Customers without a Social Security Number are required to notarize through the online notary and must use a Passport as their Photo ID.
The Address ID must match the address listed on Form 1583 (4f-j and 9b-f). Acceptable Address IDs include:
- State-issued Driver’s or Nondriver’s identification Card (Unless used for Photo ID)
- Voter or Vehicle Registration Card
- Home or Vehicle Insurance Policy (Declarations page is suggested)
- Lease, Mortgage, or Deed of Trust (*See note below)
- U.S. State/Territory/Tribal Card (Federally or State recognized tribal nation)
* Leases: include name, address, start, and ending date, and signature pages.
* Deeds: include name, address, and signature pages.
Here's what you need
- A single PDF that includes all form pages
- A valid form of ID
- The last four digits of your U.S. Social Security Number
- A credit card to pay the $25 notarization fee
